How to Spotlight Virtual Event Vendors, Exhibitors, and Sponsors

When hosting a virtual conference, event planners need to think of creative ways to showcase their sponsors and exhibitors, making sure they have an opportunity to promote their companies, products, and services.

Virtual conferences have a unique set of challenges for event exhibitors — just like your audience members, they want the feeling that they’re getting the most out of your event.

At MAC Productions, we’ve seen virtual conference exhibitors struggle to get attendees to visit booths. Most guests often attend the sessions and don’t venture on to the exhibit hall.

To ensure you’re giving your sponsors and exhibitors as much support as possible at your next virtual event, here are a few tips.

Have breaks between sessions or scheduled Exhibition Hall times

In addition to letting people use the restroom and stretch their legs, having breaks in between sessions allows attendees to visit the virtual exhibition hall.

Be sure to have speakers promote visiting your vendors and exhibitors at the end of their sessions. Just like at an in-person conference, word-of-mouth advertising can lead to more traffic.

Another idea to make exhibitors a priority at your event is to create a specific time in between sessions for “Exhibition Hall time” or “Vendor Hour.” These featured time slots will encourage more attendees to check out your exhibitor booths.

Let the vendors talk about themselves on stage or in a commercial

Another way to highlight your vendors, exhibitors, and sponsors is to let them talk about their organizations on your main stage. Giving them a brief period to speak about their company during sessions allows them to make event attendees aware of who they are and what they do.

Don’t worry, you do not need to reinvent your schedule. This can be done by giving exhibitors a 3-minute spot in between speakers at your conference or by creating pre-recorded commercials.
